This Privacy Policy explains how Sterling Poggemoeller ("Tradeswright", "we", "us") collects, uses, and shares information when you use the Tradeswright application and website (the "Service"). Tradeswright is software for HVAC and other trade businesses ("Account Holders") to manage customers, scheduling, invoicing, and messaging. Some information we process belongs to an Account Holder's customers ("End Customers"); for that data we act as a service provider on the Account Holder's behalf.
1. Information we collect
From Account Holders: business profile (name, email, phone, address, timezone), authentication data (we never store passwords in plaintext), and billing data. Card details are processed by Stripe — we do not store full card numbers.
About End Customers (entered by Account Holders): name, phone, email, service address, equipment and job notes, voice recordings of dictated job notes, appointment and invoice records.
Automatically: usage and device data and cookies/similar technologies for authentication and product analytics.
2. How we use information
- Provide, operate, and secure the Service.
- Send appointment reminders, follow-ups, and invoice notifications on behalf of Account Holders to their End Customers via SMS and email.
- Process subscription billing, provide support, and prevent fraud.
- Improve the Service using aggregated, de-identified analytics.
3. SMS / mobile messaging
Tradeswright sends SMS on behalf of Account Holders (appointment reminders, service follow-ups, and invoice/payment links). End Customers consent through the Account Holder at booking or service. Message frequency varies and message and data rates may apply. Recipients can reply STOP to opt out or HELP for help.
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent are not shared with any third parties except the messaging carriers and service subprocessors strictly necessary to deliver the messages you request.
4. How we share information
We do not sell personal information. We share it only with subprocessors that power the Service under contract — including Supabase (database, authentication, storage), Render (hosting), Twilio (SMS), Stripe (payments), Resend (email), and the AI providers Anthropic (drafting follow-up messages) and OpenAI (transcribing dictated voice notes). We also share with Account Holders who control their own End Customer data, where required by law or to protect safety, and in a business transfer (with notice).
Voice notes. When a technician dictates job notes, the audio recording is sent to OpenAI for transcription and may be retained by OpenAI for a limited period (about 30 days) for abuse monitoring before deletion. We ask technicians to record only equipment and work details — not an End Customer's voice or spoken access codes.
5. Data retention
We retain information while an account is active and as needed to provide the Service, then delete or de-identify it within a reasonable period unless a longer period is required by law. Voice recordings sent for transcription are retained only briefly by our transcription provider (about 30 days) before deletion.
6. Security
We use industry-standard safeguards (encryption in transit, row-level access controls, restricted access). No method of transmission or storage is 100% secure.
7. Your choices & rights
Account Holders can access, correct, export, or delete data in-app or by contacting us. End Customers should direct requests to the business they hired; we assist that business as its processor. Depending on your state (e.g., California), you may have additional rights — contact us to exercise them.
8. Children
The Service is not directed to children under 16, and we do not knowingly collect their information.
9. Changes
We may update this policy and will post the new effective date; for material changes we provide additional notice.
